🪜(Part-3/3) Google Calendar pro: importing events with one-click


Okay, so we talked about creating multiple calendars and sharing/subscribing to other calendars.
But...
But...
But...
Who will create events on those calendars?
Creating one event is boring enough, how do we create many events without multiple clicks here and there?


That's why this letter.
You can manually click and create three things on Google Calendar: Event, Task and Appointment Schedule. I only use Events and this letter focuses only on Events. If you're using any of the other two, share your experience with me.
Back to our question:

How to import events in bulk?

It is easy. Follow these steps:

Step-1

On your PC, download this CSV format with prefilled placeholder data.

​Import CSV into Google Calendar_Master_Copy.csv​

It looks like the following image.
Do not change the column titles.
​Subject: This is the title of the event
​Start Date: Which day the event starts
​Start Time: What time the event starts
​End Date: Which day the event ends. In case of the same-day event, this value will be the same as the Start Date
​End Time: What time the event ends
​All-Day Event: Some events don't have a start time or an end time, they're just there. See the sample
​Description: In-depth details of the event. This is where we provide extended context.
​Location: Where is it? A physical location or a Zoom link
​Private: Set this to TRUE since most events are private by default

Step-2

What if you want to include events that repeat every year or month? Such as birthdays? There's no direct feature to add to this format. But there's a way around it.
Just repeat the same events with their changed dates. For example, I added the "Retreat" event for 4 more years. This will show up on Google Calendar every 6th March for the next 4 years.

Step-3

Now, go to your Google Calendar and create a separate calendar for this import.

Step-4

Once created, select the "Import/Export" options in your Google Calendar settings. It will show something like this and choose the separate calendar you just created. I chose "The Friday Newsletter".

Step-5

Click on the "Select file from your computer" button. Once you've selected the updated CSV file that I provided, it will be ready to import.
Click "Import". Make sure that you've chosen the right calendar. If you add these events to the wrong calendar, you'll have to delete them one by one.
The importing would take 2 seconds.

Step-6

After the import, this is what my calendar looks like. I unchecked my other calendars to show only The Friday Newsletter calendar.
You can see the timed events as well as multi-day events such as the Retreat.

Step-7

And now that's done!
In case you need to start over, you can delete the calendar and restart.

Being a Google Calendar pro is easy BUT

But it is not about the tool. It is about thinking.
These tools only help us in achieving what we want to do.
